How to Reduce a PDF to 200KB (or Any Size) for an Online Form

The short answer
Most large PDFs are large because of images — usually full-page scans or phone photos. Try a lossless clean-up first; if that isn't enough, convert the pages to optimised images at around 100–150 DPI, use black & white for text documents, and split long documents into parts. Why forms limit PDF size
University admission portals, job sites and government services receive thousands of documents a day, so they cap each upload — 100KB, 200KB, 500KB and 1MB are common limits. The limit is about storage and speed, not quality: a well-prepared 200KB PDF can still be perfectly readable on screen and when printed.
First, find out what is making your PDF big
A page of typed text in a PDF usually takes only a few kilobytes. Images are what take space. A single phone photo of a document can be 2–4MB on its own, so a four-page application made from photos can easily reach 10MB.
- If your PDF was exported from Word or another program and contains mostly text, it is probably already small, and heavy compression won't change much.
- If it is made from scans or phone photos, the images are the problem — and they can be shrunk a lot.
- If you're not sure, open it in PDF Doctor. It reports the file size, the resolution of every image and which pages contain only pictures instead of selectable text.
Step by step: get under the limit
- Open Compress PDF and choose your file. Nothing is uploaded; the PDF is processed on your device.
- Pick “Exact size” and select the limit your form gives you (for example 200KB). If your limit isn't listed, enter a custom value.
- Keep “Maximum compression” selected for scanned documents. ZIYNU first tries a lossless clean-up that keeps text selectable. If that isn't enough, it renders the pages as optimised JPEG images at the highest resolution that still fits.
- For text documents, tick “black & white”. Removing colour often saves 30–50% with no loss of readability.

How much can you fit in each size?
This depends heavily on the content — clean black text on white paper compresses far better than a colourful certificate with a patterned background. As a rough guide for typical scanned A4 pages:

These are estimates, not promises. If the tool can't reach your target without making the pages unreadable, it tells you and shows the smallest readable version instead of pretending.
When it still won't fit
- Split it. Many portals let you upload several files. Split PDF can separate a long document by page ranges, so each part fits the limit.
- Remove what isn't needed. Blank pages, duplicate scans and cover sheets all cost space. Delete them with Delete Pages or Remove Blank Pages.
- Re-scan at a lower resolution. Scanning at 150–200 DPI instead of 600 DPI gives a far smaller starting file with no visible difference on screen.
- Crop photos before turning them into a PDF. A phone photo usually includes the table around the paper — every pixel of that background costs space.
Mistakes to avoid
- Zipping a PDF to make it smaller. ZIP files barely shrink PDFs, and most forms won't accept them.
- Compressing the same file again and again. Each round of image compression loses a little more detail; start from the original instead.
- Photographing documents at an angle. Skewed, shadowy photos are both larger and harder to read. Shoot from directly above in daylight.
Common questions
Will compression stop my text being selectable?
Lossless clean-up keeps text selectable. Scan mode turns each page into an image, so the text can be read but not selected or searched. For scanned documents this makes no difference, because their text was already part of an image.
Will my signature or stamp disappear?
No. Signatures and stamps become part of the page image like everything else. At very small sizes fine lines can soften, so zoom in on them before you upload.
Is it safe to compress private documents online?
